Enhanced Scheduling for Workshop Bookings

Why did we change it?

We have been working on a major enhancement to workshop scheduling and booking management over the past year. This release represents the first phase of a new workflow designed to give you better control over workshop capacity, technician assignments, and compliance tracking.

The changes introduce a more structured approach to managing bookings, work items, and compliance activities. You can now map compliance types to inspection templates, configure scheduling rules specific to workshop operations, and manage bookings with greater visibility across both the Technician portal and mobile app.

This update also improves consistency across the platform. We have moved the “Enable Enhanced Bookings” setting into the Technician module where it belongs, refined the user interface to match the rest of FleetCheck, and ensured that scheduling information stays synchronised between systems.

If you want to use the enhanced bookings feature, please speak to your account manger.

New pages and tools in Technician

Several new pages have been added to help you manage workshop operations:

  • Weekly Planner (formerly Bookings Planner) gives you a week-at-a-glance view of scheduled work

  • Daily Planner (formerly Technician Planner) shows a day-by-day breakdown of technician assignments

  • Compliance Events, Defects, and Bookings grids provide dedicated views for managing work

  • Completed Inspections now includes a “Finalise” button to close off work items and process rescheduling

The Vehicles page now includes a Schedules tab where you can view and manage compliance schedules for individual assets. This is restricted to compliance types you have mapped for that vehicle.

Settings and configuration

The Settings page in Technician has been expanded with new configuration options:

  • Workshop Settings: set your opening hours and daily technician capacity

  • Asset Types: view which asset types are available (editing is done in the main FleetCheck settings)

  • Compliance Settings: configure how compliance events are scheduled and whether they reschedule when completed outside their planned date

  • Compliance Mapping: define which compliance events apply to each asset type

  • Alert Snapping: synchronise related alerts so they can be completed together in the same booking

Access to the Settings page is controlled by a new permission: Can Access Settings. You can assign this under Technician → Technicians → [Technician Name] → Edit.

Changes to bookings

Bookings in Technician are now measured in hours rather than minutes, and the “Work Required” field has been replaced by a list of linked work items (compliance items and defects). You can add work items to a booking from the Compliance Items or Defects grids using the “Add to Booking” button.

If you need to carry work over to another day, use the Save and Roll Over Booking button when editing a booking. This creates a new booking and copies any incomplete work items across.

Bookings created in Technician are read-only in the main FleetCheck system. If you try to edit one, you will see a message directing you to the Technician module.

Mobile app changes

The Technician mobile app now opens on a Bookings homepage when Enhanced Bookings is enabled. Technicians can view their scheduled work, complete inspections and defects as part of a booking, and roll over incomplete bookings to another day.

Work completed through the app is automatically linked to the booking and visible in the Technician portal.

Restricted compliance types

The list of compliance types available in Technician has been reduced to those most relevant to workshop operations. If you need a compliance type that is not available in Technician, please contact support.

Permissions

Several technician permissions have been renamed for clarity:

  • “Enable Edit Inspection Templates” is now “Can Edit Inspection Templates”

  • “Enable Edit Technician” is now “Can Edit Technicians”

  • “Enable Delete Inspection” is now “Can Delete Inspections”

  • “Enable Send Inspection To FC” is now “Can Send Inspections To FleetCheck”

Two permissions that were not connected to any functionality have been removed: “Can Rectify Advisories” and “Can Complete Defects”.

Background synchronisation

Scheduling information is now kept in sync between the main FleetCheck system and Technician. If you update a compliance schedule in FleetCheck, the corresponding compliance items in Technician will be updated automatically.
